General terms and conditions

The reservation must be done in writing form per email. The client gets a booking confirmation incl price per email.
The confirmation of our product is regarded as a binding booking. Pasvikturist AS is then obliged to operate the tour/carry out the service.

If the tour or experience is cancelled or not operated by Pasvikturist AS, all payments made to Pasvikturist AS will be refunded.
Many of our winter activities are subject to change due to weather- and ice conditions. As a responsible tour operator Pasvikturist AS reserves the right to change the routing and the duration of the excursions due to security matters. In case of such changes no claim for refund possible. Northern lights can never be guaranteed on the excursions.

When the product is ordered and confirmed, this is a binding booking.

The product must be paid for in advance, unless otherwise arranged.
We will send you an invoice or charge your credit card. This will be arranged with the client in advance.

Acceptance: By paying the final amount the customer has accepted the general terms and conditions listed on our web pages.

Pasvikturist AS will emphasize that participation on excursions happens on the participants’ own responsibility. The tour operator assumes no responsibility for the financial consequences of potential accidents / injuries that might occur during the activity. Pasvikturist recommends to draw a travel / accident insurance.

Visa application/Invitation letter

If the application has been lodged with the Russian Consulate, the client must cover the cost of the visa regardless of the timing of the cancellation.
If the invitation letter is issued, the client must cover the cost of the invitation letter regardless of the timing of the cancellation.

Bus tickets Russia

In the event of cancellation after the ticket is issued and up to 72 hours before departure, amount paid will be refunded minus service fee – 100 NOK per person.
Cancellation less then 72 hours before departure – 100%  must be paid.

Tours  – Packages – Transfers

Tours without accommodation, 1-9 person
In the event of cancellation 2 weeks or more prior to the tour, no cancellation fee applies.
In the event of cancellation less than 2 weeks until 1 week prior to the tour: 500 NOK per booking (service fee).
In the event of cancellation less than 1 week until 24 hours prior the tour: 50% of the total fee must be paid.
In the event of cancellation less than 24 hours prior the tour: 100% of the total fee must be paid.
All changes done less than 24 hours prior the booked service will be treated as cancellation and 100% of the services must  be paid.

All tours (excl and incl accommodation), Groups from 10 persons, private tours (1-9 persons):
In the event of cancellation from the booking confirmation is received until 4 weeks  prior to the tour: 1000 NOK per booking (service fee).
In the event of cancellation less than 4 weeks until 72 hours prior to the tour, 50% of the total fee must be paid.
In the event of cancellation less than 72 hours prior to the tour, 100% of the total fee must be paid.
All changes done less than 72 hours prior the booked service will be treated as cancellation and 100% of the services must  be paid.

All tours incl accommodation, transfer Finland and Russia, 1-9 persons
In the event of cancellation from the booking confirmation is received until 2 weeks  prior to the tour: 500 NOK per booking (service fee).
In the event of cancellation less than 2 weeks until 72 hours prior to the tour: 50% of the total fee must be paid.
In the event of cancellation less than 72 hours: 100% of the total fee must be paid.
All changes done less than 72 hours prior the booked service will be treated as cancellation and 100% of the services must  be paid.

Changes of booked and confirmed services:
All changes done less than 72/24 hours prior the booked service will be treated as cancellation and 100% of the services must  be paid + a new tour must be booked.
All changes or alterations to be made to the reservation shall be made in writing from within office hours Mon-Fri 09:00–16:00.

If changes courses exra costs: must be covered by the client.

Prices

We reserve the right to price changes due to changes in exchange rates or change in prices from our suppliers.
We are subject to possible price errors on these websites.

Insurance

Pasvikturist AS has the general third Party Liability Insurance from SpareBank1 Company Ltd.
All coaches or other motorized vehicles used in traffic in Norway must have a valid motor liability insurance.

Force Majeure

Pasvikturist AS shall not be held liable for any default, damage or loss due to a condition force majeure or to unreasonable impairment of the Party?s operations due to simliar causes (including but not limited to war, strike, weather, lack of snow and ice, or other natuarl ocnditions etc).

All guests are adviced to arrange theri own travel insuracne which covers also winter sports, snowmobile tours, boat trips, fishing tours, husky safaris and general winter and summer activities. Please check with your insurance company (insurance can not be issued by Pasvikturist AS!)

Processing of personal data in Pasvikturist AS

When you are in contact with us as a customer, or otherwise, Pasvikturist AS will process personal information about you. Below you will find information about personal information collected, why we do this and your rights related to the processing of personal data.

 1. Why do we collect personal information and what information we collect
We collect and use your personal information for different purposes, depending on what product you order and how we come into contact with you. We collect the following personal information for the purposes stated here:
• Answers to requests coming to us: Name, phone number and email address. The processing of personal data is based on an interest analysis. We have considered that this is often necessary in order to help you in the best possible way.
• For visa applications: we process personal information by creating a customer card in our electronic customer data system. Processing of the application will then be in accordance with the agreement with the customer. The following information is collected: Name, address, telephone number, e-mail address, date of birth, passport number, gender. You also give us information about your workplace, your previous trips to Russia and more. This information is required to give you a visa. Your visa application form will be automatically deleted from us after 12 months.
• In connection with trip booking / hotel bookings, packages and transfers: we process personal information by creating a customer card in our electronic customer data system. The following information is collected: Name, address, phone number, e-mail address. This information is required to provide you a trip or other services we offer.
• Payment Information: Pasvikkturist operates with different order forms where you enter a credit card number for payment. This entry is not stored in our system and is only used for the order that the order form is attached to. If we charge the card beyond this, you will be contacted in advance and must give your consent. After the product is delivered, payment information is deleted.

2. Delivery of personal information to others
We will not pass on your personal information to others unless the information is provided to a partner who provides a service to us. Examples: If you apply for a visa, the visa will be exhibited by the Russian Consulate General in Kirkenes and your data will be forwarded to them (through visa delivery by the TASS in Kirkenes). For booking of tours/transfers: your name and telephone number will be communicated to the executive party (partner). In some cases, we use data servers to collect, store or otherwise process personal information on our behalf. In such cases, we have entered into agreements to ensure information security at all stages. Pasvikturist AS collects personal information as described in section. Personal information (address, telephone number, email address, date of birth, passport number) is given to us by the customer and is important for treatment. For children and adolescents under 18 years, personal information of at least 1 is recorded. All processing of personal data we make is happening within the EU / EEA area.

3. Storage time
We store your personal information with us as long as necessary for the purpose for which the personal information was collected. This means, for example, that personal information we process on the basis of your consent will be stored only when you give your consent. To delete these personal information, please contact us.

4. Your rights when we process personal information about you
Customers have the right to require access or copy of personal information we have about you. You also have the right to require access, rectification or deletion of personal information we are processing about you. To use your rights, please contact us, see contact details above. We will respond to your inquiry to us as soon as possible and no later than 30 days. We will ask you to confirm your identity or provide additional information before we allow you to exercise your rights to us. We do this to ensure that we only provide access to your personal information to you – and not someone who stands out to be you. You may withdraw your consent for processing personal information at any time. The easiest way to do this is to contact us.

5. Complaints
If you believe that our processing of personal data does not match what we have described here or we otherwise violate privacy laws, you may appeal to the Data Inspectorate. For information on how to contact the Data Inspectorate, visit the Data Inspectorate’s website: www.datatilsynet.no.

6. Changes
If there is a change in our services or changes to the privacy policy, it may change the information you provide here. If we have your contact information, we will notify you of these changes. Otherwise, updated information will always be available on our website.
Pasvikturist takes reservations for typographical errors or errors in content.
